In cases where submissions are incomplete (i.e. they do not include the appropriate or required supplementary documentation), CAAN will contact the nominator(s) to ensure that additional materials are sent.
  2. Following the closing date for nominations, CAAN will compile a complete package containing all nomination submissions (including both complete and incomplete submissions) for each Advisory Panel Member. These packages will be distributed by mail to members for their review.
  3. In independently reviewing their packages, Panel Members are requested to select their 1st, 2nd, and 3rd choices for each of the categories of Areas of Achievement.  Choice selections will also be ranked using a numerical system (and collated by the Coordinator of Appeals on )
  • 1st choice = 3 points
  • 2nd choice = 2 points
  • 3rd choice = 1 point
  1. Panel Members will submit their nominee selections and rankings for each category via fax or email to the Coordinator of Appeals by
  2. A statistical calculation of the votes (and points allocated to each candidate) will determine the award recipient in each category. CAAN will compile the results of all the Panel Members selections.
  3. Although a system of calculating points will generally result in the selection of the awards recipient, a roundtable discussion of these results or of particular cases will take place to ensure there is consensus and agreement among Panel Members.
  4. When awards recipients are selected, CAAN will follow up with the nominated individual, to verify the accuracy of their AIDS-related accomplishments and prior to the decision being ratified.
